Thank you for your participation in the above event. The purpose of this guidebook is to assist you on the arrangement details and rules and regulations of business matching sessions during the APEC WLN 2000 in Brunei Darussalam.

 

You are advised to read through this guidebook to ensure that all relevant information is fully understood. Any further queries should be addressed to the Business Matching committee who will be available during the meeting.

1.   BUSINESS MATCHING INFORMATION 

This Business Matching session is the component of APEC WLN 2000, which provides opportunities for participants from all 21 APEC economies to meet and exchange ideas and hopefully will forge a strategic alliance between them. 

The sessions were arranged in 4 different formats, which are a Pre-matched arrangement, a Formal arrangement, an Informal arrangement and an On-Site Arrangement. This will ensure that this session will give the best service to all participants.

II.      Admission

 

 

1)    All participants must have their security pass at all times to gain access to the business matching APEC WLN 2000 area and to ensure their unrestricted movement within the APEC WLN 2000 area.

 

 

2)    Anyone not issued with a security pass, regardless of rank or relation to any authorized APEC 2000, will not be granted access to the business matching APEC WLN 2000 for the duration of business matching appointments. 

3)    Lost passes should be reported to the committee or to the security personnel.

  

III.      Registration

 

Early registration should be done together with the registration for APEC WLN 2000. Any late registration should be made at:

IV.      Pre-Schedule Meeting 

Pre-schedule meeting sessions will be arranged upon request as indicated in the APEC WLN 2000 registration form. Five meeting rooms have been allocated for any arranged business meetings.

V.      Formal Matching 

A number of individuals and companies’ representatives, who had registered for Business Matching were invited to give a brief presentation on their business matching aspiration. This is formally pre-selected and any enquiries should be address to the committee.

VI.      Informal Matching

At the end of every formal session, time will be allocated for participants to meet and further queries to the speakers, personally and maybe secure an on-site appointment meeting with each other.

VIII.      Business Appointments

 

1)    No one may interrupt an on-going appointment. 

2)    No other people are allowed to sit-in during an on-going appointment. If an outsider party is present in an appointment, the Business committee is authorized to interrupt the appointment to inquire with both the participants, if the presence of an outsider is necessary and / or acceptable. If either one is not agreeable to the presence of the outsider, the said outsider shall be required by the Committee to leave the room immediately. 

3)    No press interviews are permitted during the business appointment, unless specifically required by either the participants. In such instance, a prior notice must be given by the participant to the committee, otherwise the interview will be immediately terminated by the committee.

 4)    Cancellations and / or substitutions of appointments are not allowed without prior approval of all the parties involved in the appointment. Prior notice must also be given to the Committee before any cancellation and / or substitution can be confirmed. Failure to give prior notice to the Committee may result in the listing of the concerned participants as “no-show”.

  

IX.      Security and Insurance

 

1)    General area security will be provided by the APEC WLN 2000 for the business matching area during the business appointments to guard entrances and exits. The Committee will not be responsible for any loss or damage, which may befall the person from any cause whatsoever.

 2)    Security personnel will be at the area in general, but their duties will not include specific attention to individual participants properties. Participants are reminded to arrange their own insurance to cover all stages of the event.

 3)    The business matching area will not be open for participants who wish to enter the rooms outside business matching specified hours.

 4)    If the participants bring in valuable and sensitive products and they wish to hire security personnel to attend to it, please coordinate with the committee for such requirement.

 5)    It is the responsibility of the participants to take up insurance cover in respect of: 

·       properties against loss and damage by theft, fire and any other natural calamities, or any cause whatsoever.

·       Any expenses incurred. 

·       Bodily injury or illness. 

·       Any other liabililty due to negligence, inadvertence or misbehaviour of the participants.

2.   PARTICIPATION GUIDELINES

 

I.                    PARTICIPANTS

 Participation to the business matching session APEC WLN 2000 is open to all the participants of APEC WLN 2000, either representing a company or individual. 

Confirm participation is subject to the submission of the duly accomplished APEC WLN 2000 registration form, with the participants marking the business matching participation.

  

Pre-schedule session  

1)    Participation in the pre-schedule meeting arrangement is subject to prior request indicated the APEC WLN 2000 registration form, which has indicated the type of industry that the participant is interested to be matched with and also subject to the availability of participants from the requested industry.

       2)    For all pre-schedule meeting arrangement, participants are requested to confirm arrangement with the committee an hour before the scheduled time.

       3)    Any queries for a pre-scheduled meeting arrangement should be directed to the committee.

 

Formal session

 

1)    Participation in the formal session is open to all registered participants who are interested in the industry being arranged for the time scheduled. 

2)    A number of participants from various economy and industry will give a briefing on their company and activities and followed by Q&A session. 

3)    Any queries for the formal session should be directed to the committee. 

 

 

Informal session 

1)    Participation in the informal session is open to all registered participants who are interested in this session. This is a follow up of the Formal Session. 

2)    This session is to give extra time for participants to extend their queries to those speakers during the formal session, personally. Maybe an on-site appointment can be secured and scheduled. 

3)    Any queries for the informal session should be directed to the committee.

 

 

On-Site Appointment 

1)   Participation for the on-site appointment is open to all registered participants. This is to give more chances for the participants to secure appointments with other participants of their choice. 

2)   An on-site appointment request form should be filled up for the committee to make the necessary arrangement. 

3)   For all on-site appointment arrangement, participants are requested to confirm arrangement with the committee an hour before the scheduled time. 

4)   Availability of the meeting rooms is based on first-come-first-serve basis.

  

II.       CANCELLATION AND SUBSTITUTION

 

1)    The Committee must be notified of any cancellation or participant substitutions for the pre-scheduled meeting arrangement. 

2)    Participant substitutions will only be allowed when the other party agreed to it. 

 

III. ENTITLEMENTS 

1)    Only duly registered APEC WLN 2000 participants are allowed to participate in the APEC WLN 2000 Business Matching session. 

2)    Admission to the APEC WLN 2000 Business Matching will be strictly on the basis of APEC WLN 2000 security pass. All participants are required to have the security pass at all times in the area. 

3)    Registered APEC WLN 2000 participants are allowed to join in the business matching session of the APEC SME Business Forum 2000 which is held on the 20 – 23 June 2000 at the same venue. 

3.  THE BUSINESS MATCHING PROCESS

 

I.      APEC WLN 2000 Registration Form 

1)    The proper and timely completion of the APEC WLN 2000 registration form is the first step in the participants’ business matching process. 

2)    Each participant is requested to give his/her organisation’s business profile and the future industry of interest. 

3)    Based on the information furnished in the WLN participants’ database, the Committee evaluates and selects the individual or organizations for the formal session 

4)    Based on this as well, the Committee will arrange the pre-scheduled appointments for the participants.  

  

II.      Appointment Slots

 

1)    Appointment slots are available depending on the availability of the appointment rooms at any given time. 

2)    The maximum length of time allowed for each appointment is an hour, unless otherwise stated as special request.

  

 

III.      Appointment Request Form. 

1)    Participants can obtain On-Site Appointment Request Forms from the back of this guidebook or from the reception table of the APEC WLN 2000 Business Matching area. 

2)    Each participant will be requested to list appointment requests in the Appointment Request Form in the order of priority. 

3)    The duly completed On-Site Appointment Request Form should be returned to the reception during opening hours at least an hour before the requested time. 

4)    Compliance with the specific deadlines guarantees the participants receipt of his/her arranged appointments. Otherwise, the schedule of on-site appointments can not be secured. 

5)    Servicing of appointment requests is done by the Committee on a first-come-first-served basis. 

  

IV.             Pre-matched Appointment 

 

1)    Pre-matched appointments refer to the arranged business appointments upon the participants’ indication of Business Matching interests in the APEC WLN 2000 Registration Form. 

2)    Matching priority is given to the PERFECT MATCH, i.e. when both participants have requested to see each other. 

3)    In the event that two or more participants request to meet the same particular participant, priority is given to the participant whose appointment request was received earlier. 

4)    The Committee shall not be accountable for non-confirmation of an appointment request made by any participants outside of perfectly matched appointment requests. The Committee does not guarantee any number of pre-matched appointments to any participant. The availability or level of interest for and by any participant is beyond the control of the Committee. Thus the Committee cannot be held responsible in the event a participant does not achieve the desired number or choice of appointments. 

5)    All participants are required to fully aware of the procedure and regulation with regards to the overall arrangement for pre-match appointments. 

V.               Formal Matching Session 

1)    This session is intended to give participants a chance to briefly talk on their business profile and activities to a larger group. It is also intended to give other participants a chance to listen and question other participants’ activities in public.  It is designed to give all participants access to other participants of their choice for supplementary information before an on-site business appointment can be scheduled. 

2)    Participants chosen to give briefing will be representative of all APEC economies and different industrial sectors. This will ensure that a wide geographical distribution and industry will be achieved. 

3)    The Committee reserved the right to select participants to give the briefing during the formal session based on their evaluation. 

 

VI.             Informal Matching Session 

1)    This session is intended to give participants a second chance to further their queries to other participants and maybe secure an on-site appointment with each other. 

2)    It will be done very informally, where participants will be left to mingle around and network with each other. 

 

VII.          On-Site Appointments Scheduling Session

 

1)    The on-site appointment scheduling session is intended to give participants an opportunity to secure other appointments in addition to their pre-matched appointments. It is designed to give all participants equal access to others of their choice for supplementary appointments after the pre-matching session. 

2)    Matching priority is given to the PERFECT MATCH, i.e. when both participants have requested to see each other. 

3)    In the event that two or more participants request to meet the same particular participant, priority is given to the participant whose appointment request was received earlier. 

4)    In-order to effectively achieve the functions and objectives of the On-Site Appointments Scheduling Session, the Committee will not accept or honour any additional appointments to the pre-matched schedule which are made outside the On-site Appointments Scheduling Session. 

5)    The Committee shall not be accountable for non-confirmation of an appointment request made by any participants outside of perfectly matched appointment requests. The Committee does not guarantee any number of on-site appointments to any participant. The availability or level of interest for and by any participant is beyond the control of the Committee. Thus the Committee cannot be held responsible in the event a participant does not achieve the desired number or choice of appointments. 

6)    All participants are required to fully aware of the procedure and regulation with regards to the overall arrangement for on-site appointments. 

 

VIII.      Monitoring appointment 

1)    The Committee will maintain a Master Schedule of Appointments. It will record the full line-up of appointments that each participant has acquired both during the pre-schedule matching process and on-site business appointment schedule. 

2)    In the event of conflicting schedules, the schedules reflected in the Master Schedule take precedence over the participants personal copy. For this reason, all participants are cautioned against making any amendments or cancellations on their schedules without properly advising the Committee. 

3)    The master Schedule may be shown upon request to any participants seeking to verify the Committee another participant’s on-site availability for appointment requests.
